Registration
3 questions§ 01When does early-bird pricing end?
Early-bird ends June 1, 2026. After that, all tiers increase by 15%. The final registration cutoff is August 13, 2026 — after that date, on-site registration only, subject to capacity.
§ 02Can I register a family under one account?
Yes — choose the Family tier (up to 2 adults + 2 kids under 18). Add each attendee's name, age, and dietary needs during checkout. Children's program details are confirmed in the Convention Packet 30 days out.
§ 03What if I need to cancel?
Full refund before July 15. 50% refund July 16 – August 13. Non-refundable after August 13, but transferable to another attendee — email register@inc-usa.org with the new attendee's details.
Travel
2 questions§ 04What airport should I fly into?
SFO (San Francisco International) is best — closest to the hotel with a free 24/7 shuttle. OAK (Oakland) and SJC (San Jose) are also viable but require 40–60 min by BART or rideshare. See /convention/travel for the full guide.
§ 05Is there an airline corporate code for convention travel?
We are negotiating airline partner codes for convention travel. Confirmed codes will be posted on /convention/travel and emailed to registered delegates as soon as they are signed.
Hotel
2 questions§ 06Is there a hotel room block?
Yes — $149/night group rate at the SF Airport Marriott Waterfront. Cutoff to book at the group rate is August 13, 2026. Free 24/7 SFO shuttle, walking trails, and bay views. Book early — group blocks typically fill before the cutoff.
§ 07Can I share a room to save cost?
Yes — the Marriott group rate covers up to 2 adults per room. We can help match attendees seeking roommates; email hotel@inc-usa.org for the current matching process and timing.
Health & Safety
2 questions§ 08What if I'm unwell on the day?
If you are unwell within a few days of arrival, email health@inc-usa.org. We will work with you on rescheduling and, where possible, issue a transferable credit.
§ 09Is there on-site medical support?
Hotel security and Marriott on-site medical protocols apply. A first-aid plan, including the nearest emergency facility, is published in the Convention Packet distributed 30 days before the event.
Accessibility
2 questions§ 10Is the venue accessible?
The Marriott Waterfront is fully ADA compliant. All meeting rooms, the ballroom, and room corridors are wheelchair accessible. Request specific accommodations (mobility, sign language, quiet room, childcare) during registration or email accessibility@inc-usa.org by August 1.
§ 11Do you provide sign language interpretation?
Indicate your need during registration. We will arrange ASL interpretation for plenaries on confirmed need. For breakout-specific needs, email accessibility@inc-usa.org by July 15.
Dietary
2 questions§ 12Do you accommodate dietary restrictions?
Yes — vegetarian, vegan, halal, kosher, and gluten-free meals are supported at every meal service. Specify when you register. For last-minute changes email meals@inc-usa.org by August 25.
§ 13Will the Gala menu be published in advance?
Yes — the final menu is finalised with the venue close to the event. The full menu card is posted at /convention/schedule and included in the Convention Packet 30 days before.
Gala
2 questions§ 14What is the Gala dress code?
Black-tie with Itsekiri regalia strongly encouraged and welcomed. Men: tuxedo or agbada. Women: evening gown or iro-and-buba with gele.
§ 15Is a gala-only ticket available?
Yes — a Saturday-evening Gala-Only seat is available. It covers the Saturday-evening reception, dinner, awards segment, and cultural performances. Daytime plenaries and breakouts are not included.
Children
2 questions§ 17What is in the kids' program?
A multi-day kids' program is planned: Itsekiri language intro, cultural crafts, supervised play, and a kids' table at family meals. Final ages, room, and schedule are confirmed in the Convention Packet 30 days out.
§ 18Will childcare be available during the gala?
We are evaluating supervised childcare for the Saturday Gala. Confirmed availability and pricing will be published with the Convention Packet and on the registration page.
Parking
2 questions§ 19Is there parking at the Marriott?
Yes. Self-parking is discounted to $18/night for INC-USA convention delegates (down from the standard $48/night). Valet is $34/night. Both are secured 24 hours.
§ 20Mobility support inside the venue?
Marriott and INC-USA Transport volunteers will assist mobility-limited attendees between parking and the main lobby during convention hours. Flag down any staff in an INC-USA volunteer vest.
